The back-and-forth costs more than it looks

"Does Tuesday at 3 work?" "How about Thursday?" A front desk can spend a good part of every day trading messages just to find a time. A solo consultant loses the same time between calls. And when a booking finally lands, someone still has to copy it into the customer's record, send a confirmation and remember to follow up.

A separate scheduling tool solves the first part. It usually leaves the rest for you to stitch together.

How booking works in Everything Portal

The calendar and booking pages are part of the portal, next to your contacts, inbox and pipeline.

  • Booking pages: share a link and people pick a time that works, without a phone call.
  • Your own web address: put booking pages on your own domain, such as book.yourclinic.com, so customers see your name instead of someone else's.
  • Bookings land on the record: a new booking creates the contact if they're new, or adds to their history if they're not, alongside their emails, deals, invoices and signed documents.
  • Your words: call them appointments, sessions, consults, classes or showings, whatever fits.

For agencies, booking pages carry your app name and logo under white-label. Read more about why the address matters in booking pages on your own domain.

Automations on booking

Booking is where a lot of follow-up starts, so the portal can take the next steps for you. Automations can start when an appointment is booked, rescheduled, or its status changes:

  • Appointment booked: send a confirmation email with what to bring, tag the contact and assign them to the provider.
  • Contact created by a booking: create a task for the front desk to send intake paperwork for e-signature.
  • Appointment rescheduled: send an updated details email and notify the assigned person with a task.
  • Status changes to no-show: wait a day, then send a friendly email asking to rebook.
  • No activity for 90 days: send a "we'd love to see you" email with a link to your booking page.

There's also a ready-made appointment reminder automation you can switch on and edit, which sends reminders by email. Text reminders aren't available today; business texting is coming. More ideas are in online booking for small business.

A day at a med spa

A new client finds the med spa on Instagram and books a consult on its booking page at 11 p.m. By morning, she's a contact tagged "new," assigned to the right provider, with a confirmation email sent and a task waiting for the front desk to send her consent form to sign online.

The front desk manager asks Spera, the AI assistant, "who hasn't booked in 90 days?" and gets a list. Goals show bookings for the month against target, with today's pace and a projection for where the month will land. In reports, the owner sees bookings by lead source.

Patient and client data needs care. Clinics should check their own compliance obligations before choosing any software.

Getting started

Set your available hours, create a booking page for your most common appointment type, and connect your own web address if you have one. Put the link on your website, in your email signature and on your social profiles. Then switch on one automation for "appointment booked" so every new booking gets a confirmation and a next step. See what's inside for how the calendar fits with the rest of the portal.
