Where deals slip away
A buyer inquiry comes in from your website on a Sunday afternoon. You're at a showing. By the time you reply that evening, they've already talked to two other agents. A seller who said "maybe next spring" never hears from you again because the note is in a notebook. Your team lead can't tell which agent is sitting on which lead.
Real estate runs on follow-up over months, sometimes years. Everything Portal keeps every lead, conversation and transaction in one place, with automations doing the remembering.
How the portal is set up for agents
Pick the Real estate setup from the industry setups and you start with:
- Leads and deals. People are leads until you rename them clients, and the work is deals.
- A transactions pipeline with five stages: New, Showing, Offer, Under contract and Closed. Each deal is a card with a value, so you see volume at every stage.
- Fields for buyers and sellers: Buyer or seller, Price from, Price to and Area, plus your own, such as pre-approval status or move date.
- Tags like hot, warm and cold, so you can filter and automate by temperature.
- Booking pages for buyer consultations and listing appointments, on your own web address if you like.
- A shared inbox where email is threaded and filed to the lead. Connect Microsoft 365, Outlook, Gmail or Google Workspace.
- Agreements signed online. Send a buyer representation agreement or listing paperwork as a document. Clients type or draw a signature on a phone, and everyone gets the signed copy with a signing certificate.
A day for a team lead
A website inquiry lands at 2:10 p.m. on Sunday. It becomes a lead with source Website and the message attached. An automation assigns it to the agent on duty, sends an immediate reply by email, and creates a task to call within the hour. The agent gets a team chat alert on the spot. The real estate follow-up guide explains why that first reply matters so much.
The Kims book a showing. Their deal moves to Showing. When they make an offer, it moves to Offer, then to Under contract. A date reminder automation creates a task before the expected closing date, so the agent checks in on the lender and inspection.
A lead tagged cold who hasn't been active for 60 days gets a check-in email and a task for a personal call. After closing, a date reminder on the closing anniversary sends a short note, which keeps you in mind for referrals.
Monday morning, the team lead asks Spera, the AI assistant, "which leads came in last week and haven't had a reply?" and gets the answer from the team's own records. The goals page shows deals won this month against the target and where the month is likely to land. Reports show average and median first reply time, so you can see who answers fastest.
What's connected, and what's coming
Email connects straight to your Microsoft or Google mailbox, and you can send from your own domain. Website forms on your site post directly into contacts. Incoming webhooks can bring leads in from other sources that send them, with every call logged, and the API connects your own tools.
What isn't here yet:
- Business texting is coming. Follow-up runs by email today.
- Two-way sync with HubSpot, Salesforce, Zoho CRM and Pipedrive is coming. If you're moving from one of them, start with a spreadsheet import.
- There's no mobile app. The portal works in your phone's browser.

Getting started
Export your contacts to a spreadsheet and import them, mapping columns to Buyer or seller, Area and price range. Add your active deals to the right stages. Then switch on new lead assignment and instant reply first. Once your team trusts it, add longer follow-up for cold leads and past clients.
