The info@ inbox nobody owns
Most small businesses have one: an info@ or office@ address that three people check. Someone reads a message, means to reply later, and assumes a coworker handled it. Someone else replies twice. The customer's earlier emails live in a different person's mailbox, so whoever answers is missing half the story.
Forwarding rules and shared passwords help a little. What really fixes it is knowing who owns each conversation and seeing the whole customer history in the same place you reply.
How the inbox works in Everything Portal
The email inbox is part of the portal, beside contacts, deals, bookings and invoices.
- Threaded by conversation: replies stay together, so you read the whole exchange top to bottom.
- Tied to the customer: each thread is filed on the contact's record, next to their bookings, deals, invoices, signed documents and notes.
- Assignment: give a conversation to a teammate, and they get a team chat alert straight away.
- Your own mailbox: connect Microsoft 365 or Outlook, or Gmail and Google Workspace. Gmail connects with an app password.
- Your own domain: send from your own domain so replies come from your business address.

Automations so nothing sits
Inbox events can start automations, which take steps like tagging, emailing, assigning and creating tasks:
- Contact created by email: tag them "new inquiry" and assign them to whoever handles new business.
- Conversation left unanswered for 30 minutes: assign it to a backup person, who gets a team chat alert.
- Email received: create a task for the assigned person to reply, due the same day.
- Website form submitted: the message is kept on the new contact, who is assigned and gets a quick acknowledgment email.
Fast replies matter more than most teams think. See speed to lead for why the first reply often wins the work.
Measure how fast you reply
Dashboards and reports include average and median first reply time to customer emails. The average tells you the overall picture. The median tells you what a typical customer experiences, without one weekend email throwing the number off. Watch both week to week, and you'll see quickly whether a new assignment habit is working.
You can also report by any field, such as conversations by lead source or by assigned person.
A morning at a dental front desk
The office manager opens the inbox. Overnight, six emails came in: two appointment questions, a billing question, an insurance question and two new patient inquiries. She assigns the billing and insurance threads to the billing coordinator, who gets a team chat alert for each. The new patient inquiries were already tagged and assigned by an automation.
Before replying to a long-time patient, she sees his last visit, the treatment plan he signed and an open invoice, all on the same page. She asks Spera, the AI assistant, to draft a reply, edits it, and sends it herself. By the end of the week, the report shows a median first reply time well under an hour.
Patient data needs care, so clinics should check their own compliance obligations before choosing software.
Getting started
Connect the shared mailbox your team already uses, whether it's Microsoft 365 or Gmail. Import your contacts from a spreadsheet so incoming email files itself on the right record. Decide who owns new inquiries, then turn on one automation for conversations left unanswered. See integrations for mailbox options.
